Kovi Privacy Policy

At Kovi, your privacy is important to us. This Privacy Policy explains how we collect, use, and protect your personal data when you use our app.

1. Who We Are

2. What Information We Collect

  • Account Information: When you sign up, we collect your email address or authenticate you via third-party sign-in providers such as Google or Apple.
  • App Activity: The goals you create, habits you track, journal entries, coaching conversations, voice messages converted to text, and other in-app content are stored securely in our database.
  • Analytics Data: Anonymous usage data is collected to understand how the app is used, including interactions like screen views, feature usage, and app crashes.
  • Technical Information: We may collect device, app version, session, and diagnostic information required to operate, secure, and improve the service.

3. How We Use Your Data

We use your data solely to provide and improve the Kovi app. Specifically:

  • To enable secure login and user access
  • To save your personal coaching content
  • To generate AI coaching responses and provide conversation continuity
  • To understand how the app is used and where we can make improvements
  • To maintain security, reliability, and prevent misuse of the service

We do not use analytics data to profile you or influence your coaching experience. Analytics data is anonymised and used in aggregate.

4. Data Sharing

We do not sell or share your personal data with third parties for advertising or marketing purposes.

Your data is processed and stored securely by Google's Firebase services, which comply with robust industry standards for privacy and security.

To provide AI coaching features, certain user content may be securely shared with third-party AI service providers, including OpenAI, who securely process data on our behalf.

This may include messages you send to the coach, your chosen preferred name (if you provide one), and relevant context such as current goals and habits.

We only share the minimum information reasonably necessary to provide these features.

5. AI Features and Consent

Kovi uses AI-powered services to generate coaching responses, insights, and personalised support.

Where required, we will request your permission before sending personal data to an external AI provider.

If you choose not to provide consent, some AI coaching features may be unavailable.

Data shared with our AI service providers through business API services is not used to train public AI models where provider settings, contracts, and service terms state this is disabled.

6. Data Security

We implement industry-standard security measures to protect your data, including encryption and access controls. Access is limited to systems and services essential to operate the app.

We only work with service providers that are required to protect personal data using safeguards that are the same as or substantially similar to those described in this Privacy Policy.

7. Your Rights

  • Request deletion of your account and personal data at any time by using the Delete Account option within the app settings.
  • If you are unable to access the app, you may also request deletion by emailing privacy@koviapp.com. We aim to respond to and process deletion requests within 30 days.

8. Age Restrictions

Kovi is intended for adult users. It is not designed for or directed at individuals under the age of 18. We do not knowingly collect personal data from anyone under 18 years old.

9. Legal Basis for Processing

  • Contract: To provide the Kovi service you sign up for
  • Legitimate Interests: To improve and maintain the app, ensure security, and understand usage
  • Consent: Where applicable (for example optional AI features, optional features, or communications)

10. Data Retention

We retain your personal data only for as long as necessary to provide the service and fulfil the purposes outlined in this policy.

  • Your account data is retained while your account is active
  • If you request deletion in-app, your data will be securely deleted immediately
  • If you request deletion by email, your data will be securely deleted within 30 days
  • Some limited data may be retained where required for legal, security, or operational purposes

11. International Transfers

Some service providers we use may process data outside your country of residence. Where this happens, we take reasonable steps to ensure appropriate safeguards are in place.

12. Changes to This Policy

We may update this Privacy Policy from time to time. Any updates will be reflected by revising the effective date at the top of this policy.
